Job Duties and Responsibilities
- Manage patient scheduling, including evaluations, re-evaluations, and appointment reminders, ensuring seamless communication between patients and clinicians.
- Serve as the primary point of contact for patient inquiries, offering excellent customer service and acting as a liaison between patients, physicians, and the clinic.
- Maintain accurate patient records by gathering new patient data, tracking referrals, and completing intake information.
- Verify insurance coverage, track visits, and handle copayments with accuracy and efficiency.
- Coordinate with physicians and clinicians by sending reports, faxing necessary documentation, and keeping detailed logs of all communications.
- Facilitate clear and timely communication with the office manager and clinicians regarding patient scheduling and arrival times.
- Manage a multi-line phone system, ensuring calls are answered promptly and routed to the appropriate team member.
- Process and distribute mail, including Explanation of Benefits (EOBs), and communicate with billing companies for benefits paperwork and insurance verification.
- Ensure patients feel welcome and informed from check-in to check-out, providing guidance on payments and answering any questions they may have.
- Handle administrative duties such as collecting mail, distributing reports, and keeping accurate logs of all relevant communications.
Qualifications
- Excellent communication skills with a strong focus on delivering outstanding customer service
- Proven ability to multitask and prioritize in a fast-paced, patient-centered environment
- Detail-oriented with the ability to handle scheduling, payments, and patient records accurately
- Positive attitude, strong work ethic, and a compassionate approach to helping patients in pain
- Ability to work effectively as part of a team while independently managing front-desk operations
- High school diploma or equivalent (GED)
- Valid driver’s license and reliable transportation
