General description:
The Inventory and Assets Coordinator (“Coordinator”) monitors the inventory of equipment and supplies, places and manages appropriate orders. The Coordinator maintains related records and ensures compliance with purchasing, storage, disposition, and other policies, procedures, and regulations.
Job Duties and Responsibilities
Specific Responsibilities of the Job:
- Supports the Procurement Director in purchasing, inventory control, asset management, and their related accounting functions, ensuring compliance with organizational policy, federal acquisition requirements, and other regulations
- Coordinates medical supply and other assigned inventories at multiple clinic locations, responding to changes in demand and optimizing availability while minimizing waste. Monitors stock levels to ensure adequate supplies are available and easily located for operations, while avoiding overstocking. Ensures agreement between the physical inventory and the ERP/inventory system.
- Maintains accurate records of all inventories, including medical supplies, equipment, and consumables. Performs regular inventory counts and reconciles discrepancies.
- Places, tracks, and troubleshoots orders as assigned for stocking and replenishing. Assists accounting staff in ensuring the resulting invoices are received, accurate, correctly coded, and paid from correct funding source(s).
- Tracks, evaluates, and maintains records of all fixed assets, including equipment, furniture, and fixtures.
- Performs regular inspections to ensure assets are in place and are in good working condition; coordinates repairs or replacements as needed.
- Ensures proper tagging, storage, disposition, and allocation of assets across clinics.
- Prepares reports on asset status, depreciation, valuation, and release of sponsor interest.
- Ensures compliance with organizational policies and relevant FQHC, sponsor, and other regulations in inventory and asset management. Maintains accurate, complete, and readily available records, including purchase orders, invoices, and asset disposal documentation.
- Support audits by providing accurate inventory and asset data.
- Collaborates with clinic staff and other internal and external parties.
- Other duties as assigned.
Qualifications
Required Knowledge, Skills and Abilities:
- Strong organizational skills
- Excellent verbal and written communication skills
- Knowledge of accounting principles related to supply and asset transactions.
- Strong Microsoft Office skills required.
- Ability to travel among our clinic and office locations as needed.

Education and Experience:
- Bachelor’s degree required. Degree in a clinical field or in business, logistics, supply chain management, or related field preferred.
- At least 2 years of related full-time paid work experience.
- Experience in a medical, scientific, academic, research, or pharmaceutical area preferred.
- Experience with current Electronic Health Record (EHR), ERP/accounting system, asset databases, and inventory management systems preferred.
- Familiarity with typical clinic supplies and equipment preferred.
- Experience managing clinical inventory (supplies, medications, vaccines, equipment) preferred.
- Experience with grantor/sponsor/audit requirements related to purchased assets preferred.
