You will be the first smiling face everyone greets as they come into our clinic. You will help them on their road to recovery, health and wellness by ensuring an excellent client experience, entering their information, on time appointments, staying on top of their visits from insurance or membership, and keeping up with insurance verifications, authorizations as well as billing with our coordinated teams. Making sure to track all patient documents, authorizations and signed plan of care. You will also reduce and reschedule cancellation, fill holes in the schedule by reviewing who would benefit most from a sooner appointment, track referral sources and sales of retail bands, shoulder pulleys, balance pads, shoe inserts or what the physical therapist may recommend for the clients continued at home exercise plan to increase positive treatment outcomes.

Job Duties and Responsibilities

  • Skilled at handling incoming calls
  • Strong communication skills required
  • Comfortable with computers, ability to handle uploading and downloading files as well as navigating email
  • Competent phone skills
  • MS Suite familiarity, including Instant Messenger, Excel, and Word
  • Able to effectively communicate with others
  • Basic computer skills including email navigation and downloading/uploading files
  • Familiarity with principles of Excel; able to use Word and Instant Messenger
  • Greet incoming calls and patients in person with a happy welcoming demeanor 🙂

  • PIP and injury case follow ups, tracking and coordination
  • Workers compensation case follow ups, tracking and coordination
  • Handle all scheduling and ensuing communication
  • Schedule patients; coordinate evaluations, re-evaluations, appointment reminders and cancellations
  • Verify Insurance and track insurance-covered visits; take copayments
  • Check mail; keep track of Explanation of Benefits sent from mail and fax to billing company
  • Communicate with the office manager and clinicians about scheduling/patient arrival, immediate issues
  • Fill in where needed
  • knowledge of verifications/auths needed!

Qualifications

  • Knowledge of EMRs
  • Knowledge of medical office scheduling
  • Knowledge of insurance verifications, authorizations and benefits
  • Moderate knowledge of Microsoft Office applications (i.e. Word, Excel, PowerPoint)
  • Great communicator and multitasker, detail-oriented
  • Positive attitude, good work ethic, integrity and empathetic toward people that are in pain
  • Excellent at handling details, communicating and multitasking
  • Great demeanor, strong integrity and compassion
  • Some related skills and a willingness and drive to learn and grow
  • Willing to learn and figure out things
  • Good organizational skills with the ability to prioritize tasks
  • H.S. grad or equivalent
  • Authorization to work in the U.S. required
  • High school diploma or GED
  • Must be authorized to work in the U.S.
