The Front Desk Coordinator at FYZICAL Therapy & Balance Centers serves as the first point of contact for patients and visitors, creating a welcoming, energetic, and professional environment. Job Duties and Responsibilities
- Verify insurance coverage, perform insurance eligibility and benefits verification, and handle insurance claims processing
- Greet patients and visitors warmly, ensuring a positive and professional first impression
- Guide patients through check-in and check-out processes efficiently
- Process insurance claims and assist with medical billing, including CPT and ICD-9/10 coding support
- Collect co-pays, balances, and manage daily financial transactions
- Maintain accurate and compliant patient records in accordance with HIPAA regulations
- Manage multi-line phone systems, answering and directing calls professionally
- Maintain organized filing systems and ensure confidentiality of all patient information
- Assist with general administrative duties to support clinic operations
- Schedule appointments accurately using electronic health record (EHR)
- Collect and review patient documentation, including medical histories, consent forms, and care plans, maintaining meticulous records in compliance with HIPAA regulations
- Manage multi-line phone systems with professionalism, answering inquiries promptly and directing calls appropriately
- Assist with medical billing processes, including CPT coding, ICD-9/10 coding, and Medicare claims submission
- Maintain organized medical records and files through efficient filing systems while ensuring data security and confidentiality
- Support clinical staff by preparing patient charts, updating medical information, and facilitating smooth office operations
- Maintain Clinic expectations of supplies, PT needs, ordering, upkeep of cleanliness of clinicÂ
Qualifications
- Previous experience in a medical or dental front office setting required
- Strong knowledge of EMR/EHR systems (eClinicalWorks preferred; Dentrix a plus)
- Proficiency in Microsoft Office (Word, Excel), Office 365, and general computer skills (including 10-key)
- Understanding of medical terminology, CPT coding, ICD-9/10 coding, and insurance processes
- Excellent customer service skills with strong phone and interpersonal communication abilities
- Ability to handle sensitive information with professionalism and strict confidentiality (HIPAA compliance)
- Highly organized with strong attention to detail and accuracy
- Ability to multitask and prioritize in a fast-paced clinic environment
- Bilingual abilities (Vietnamese, Mandarin, or Korean) are highly desirable
- Team-oriented with a positive, energetic attitude
