Job Duties and Responsibilities

Key Responsibilities:
– Patient Interaction:** Greet patients warmly, answer inquiries, and ensure a positive experience during all points of contact.  
– Scheduling and Coordination:** Manage patient appointments efficiently, balancing provider availability and patient needs. Confirm appointments and handle rescheduling or cancellations.  
– Insurance Verification: Verify insurance benefits, obtain authorizations, and ensure accurate billing information prior to treatment.  
– Financial Transactions: Collect copayments and balances, issue receipts, and provide explanations of patient financial responsibilities.  
– Administrative Support: Maintain organized patient records and documentation in compliance with clinic policies and HIPAA guidelines.  
– Communication Management: Answer phones, respond to emails, and relay messages promptly to appropriate team members.  
– Team Collaboration: Work closely with clinicians and other staff to optimize patient flow and provide seamless support for clinical operations.  
– Clinic Presentation: Keep the front office and waiting areas clean, organized, and stocked with necessary supplies.  

Qualifications

Qualifications:
– High school diploma or equivalent; additional education in healthcare administration or related fields preferred.  
– Previous experience in a medical or physical therapy office setting preferred.  
– Proficiency with scheduling software and electronic medical records (EMR) systems.  
– Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.  
– Excellent communication and interpersonal skills to provide exceptional service to patients and team members.  
– Familiarity with insurance processes, authorizations, and medical billing is a plus.
