Job Duties and Responsibilities
Business Management
The Practice Manager is responsible for the overall financial health and operational efficiency of the practice.
- Regularly assess hospital’s services, optimize appointment schedules, and identify opportunities to drive revenue.
- Understand and analyze available financial data from PIMS, VetSuccess, and monthly Operational Performance Pack. Important metrics include:
- Pricing: Maintain a comprehensive pricing strategy in hospital. Regularly adjust prices based on costs and competitor pricing.
- COGS: Manage the cost of goods sold (COGS) through effective markups, product selection, and inventory management.
- Labor: Maintain appropriate staffing levels for business demands, fine-tune employee schedules so that hospital can function effectively.
- Maintain a robust online presence, regularly updating hospital website and creating an impactful social media presence.
Client Experience
A successful client experience is achieved by creating a positive environment in the hospital, ensuring all clients experience a friendly and informative phone experience, and developing all hospital team members to build long term relationships with clients.
- Develop and implement ‘Standards of Client Experience’ (SOCE) that is followed by all teams in the hospital.
- Use available data from client feedback and online reviews to ensure continuous improvement and consistency with SOCE.
- Address and resolve all client issues with a professional and fair approach, seeking resolutions that benefit both clients and staff.
- Partner with the Managing Veterinarian to ensure consistent implementation of Standards of Care (SOC) across the hospital.
Team Development
The Practice Manager models professionalism, teamwork, and commitment to the hospital values their team is expected to follow.
- Participate in the recruitment process, including sourcing, interviewing, and onboarding new team members.
- Schedule regular staff meetings and create agendas that are engaging and informative.
- Develop and implement training programs for support staff to ensure a thorough understanding and engagement in their job responsibilities.
- Promote ongoing education and professional growth, “lunch and learn” sessions with vendor partners, and hands-on clinical training.
- Have a core knowledge of company policies, benefits, and other resources.
Qualifications
Education and Experience
- High School Diploma, GED, or suitable equivalent.
- 3+ years of experience in veterinary practice management.
Licenses or Certifications
- Certified Veterinary Practice Manager (CVPM) preferred
Skills/Knowledge/Abilities Required
- Proven leadership and team-building skills.
- Excellent communication, interpersonal, and customer service skills.
- Strong organizational, time-management, and multitasking skills.
- Proficient in Microsoft Office, with aptitude to learn new software and systems.
