The Specialist serves as a key communication link between Procurement, Production, Warehouse/Receiving, Inventory, Accounting, Quality, and other internal stakeholders. This is a flexible hybrid role, based out of our printing manufacturing plant in Idaho Falls.

Your Impact:

1. Procurement Planning, Requisitions and Purchase Orders

  • Prepare purchase requisitions and issue purchase orders in accordance with company procedures, approval requirements, negotiated pricing, and delegated purchasing authority.
  • Purchase materials and services that meet approved specifications, quality requirements, delivery needs, and budget constraints.
  • Track open purchasing activity from requisition through order placement, supplier confirmation, delivery, receipt, and resolution of outstanding issues.
  • Escalate material shortages, demand changes, price variances, and other purchasing risks that may affect production or customer commitments.

2. Inventory and Demand Support

  • Review usage patterns, inventory availability, open purchase orders, lead times, and anticipated demand to support timely replenishment and reduce avoidable shortages or excess inventory.
  • Coordinate with Production, Inventory Control, Warehouse, and Receiving to align purchase timing and quantities with operational needs.
  • Help identify slow-moving, excess, obsolete, or at-risk inventory and recommend appropriate follow-up in accordance with company policy.

3. Supplier and Vendor Management

  • Maintain accurate supplier records and purchasing data, including order acknowledgments, confirmed dates, delivery performance, pricing, and relevant documentation.
  • Follow up with suppliers on order confirmations, shipment status, late deliveries, shortages, and corrective actions.
  • Build effective supplier relationships and support supplier performance reviews, scorecards, and continuous-improvement activities.

4. Cost Management and Financial Accountability

  • Purchase within approved budgets, negotiated terms, and authorization limits; verify pricing and applicable charges before placing orders.
  • Identify and communicate opportunities to reduce purchase price, freight, expedite fees, waste, and total cost of ownership.
  • Assist with quote comparisons, cost-benefit analyses, spend reviews, and evaluation of supplier price changes.
  • Partner with Accounting and suppliers to resolve invoice and purchase-order discrepancies involving freight, credits, returns, taxes, quantities, or pricing.

5. Receiving, Quality and Non-Conformance Resolution

  • Work with Receiving and Warehouse teams to resolve missing, incomplete, or inaccurate receiving information and purchase-order discrepancies.
  • Track supplier delivery confirmations and actual delivery performance, maintaining accurate dates as a primary input to procurement reporting.
  • Coordinate with Quality and appropriate stakeholders on damaged, incorrect, rejected, or nonconforming materials and support supplier corrective-action follow-up.

6. Systems, Reporting, Analytics and Process Improvement

  • Use the company’s ERP, procurement platforms, and approved reporting tools to maintain accurate purchasing, supplier, item, and order records.
  • Develop and maintain reports that provide visibility into open POs, supplier confirmations, on-time delivery, late orders, spend, price variance, inventory risk, and other relevant procurement KPIs.
  • Use Microsoft Excel and available analytics or dashboard tools to identify trends, exceptions, root causes, and opportunities for improvement.
  • Collaborate with Procurement leadership and IT on approved reporting, dashboard, systems, and process-improvement initiatives.

7. Stakeholder Communication and Operational Excellence

  • Serve as a primary point of contact for routine purchasing status and supplier-related questions from internal stakeholders.
  • Communicate clearly about order status, delivery risks, shortages, supplier issues, and resolution plans.
  • Coordinate with Production, Warehouse/Receiving, Inventory, Accounting, Quality, IT, and other teams to resolve issues and maintain operational continuity.
  • Prioritize work according to production/customer impact, urgency, financial exposure, and risk; work independently with appropriate escalation.
