Job Duties and Responsibilities
JOB OVERVIEW:
Coordinate services for clients and in-house guests. Work with the marketing team and with agency partners in coordinating media, influencer, and filming requests/stays, and provide communication and administrative support for the department.
DUTIES AND RESPONSIBILITIES:
• Respond to client calls and special requests and obtain final details, dates, times, and guest room and meeting room requirements. Regularly follow-up with clients and maintain accurate and updated information.
• Resolve requests and/or complaints to the satisfaction of the guest; inform supervisor of major problems, complaints, disturbances, or dissatisfied clients
• Coordinate details with other departments for VIP amenities, special requests, or other service needs or special handling.
• Promote teamwork and quality service through daily communication and coordination with other departments. Submittal of daily amenity requests. Requires coordination with Guest Relations, Food & Beverage Departments as well as Front Office.
• Perform administrative duties such as creating proposals, letters, contracts, VIP alerts, etc. Collect data and updates databases.
• Daily monitoring of incoming leads, review booking period for short term bookings and assign to supervisor for immediate review.
• Full execution and review of leads in the absence of Sales Managers or Directors
• Create group contracts, and group turnovers to Event Manager.
• Create Resume and BEO
• Works with the Marketing team and partner agencies to coordinate and execute influencer visits, partner events, photoshoots. Coordinate and communicating details with other departments for room / space reservations, special requests, or other service needs or special handling.
Qualifications
High School diploma or equivalent plus 1 year experience in hospitality. High School Graduate. Must speak fluent English. Must be proficient in Microsoft Office Suite. HMS and Delphi knowledge a plus.
Endure various physical movements throughout the work areas. Remain in stationary position for up to 8 hours throughout work shift.
