General Description:
Serves as Subject Matter Expert in the financial management of grants, contracts, and other sponsored activities (“grants”).  Accountable for accurate and timely completion of budgeting, analysis, billing, and reporting for assigned grants.  Provides advanced accounting services in a health care services and research environment.

Job Duties and Responsibilities

Specific Responsibilities of the Job:
 

  • Collaborate with programmatic staff to prepare assigned grant, contract, and other sponsored activity (hereafter referred to as “grant”) budgets, budget revisions, reallocations, and amendments.  Demonstrate thorough understanding of sponsors’ budget requirements, processes, and deadlines.
  • Periodically analyze, report, and reforecast on assigned grant revenues and expenditures for internal program and management use, and to identify over/under spending, capacity for additional funds, or need to reallocate funds.
  • Participate in developing and accurately apply coding, allocation, and distribution methodologies to support use, billing, and reporting of grant funds.
  • Regularly review grant expenditures – including but not limited to payroll, lab, and drug expenditures – to ensure allowability and appropriateness to each funding source.
  • Prepare accurate and timely scheduled and ad hoc grant billing and reporting to sponsors.  Understand, manipulate, and utilize data from the General Ledger (GL), Electronic Health Record (EHR), and other sources as required to complete billing and reporting.
  • Ensure proper sponsor payment is received for each assigned grant; follow up with sponsor as needed.
  • Respond to sponsor inquiries and requests for information on assigned grants.  Participate in monitoring visits, entrance/exit meetings, audits, etc., as assigned.
  • Initiate appropriate grant-related accounting, payroll, and other transactions in the organization’s ERP and EHR and related systems.
  • Research, troubleshoot, and resolve discrepancies and issues; demonstrate problem-solving skills; recommend procedure improvements.  Understand and implement workflow, procedural, and other changes, including but not limited to new accounting pronouncements, sponsor regulations, and internal decisions.
  • Provide backup, training, and collaboration to fellow grant/contract accounting staff, manager, and other co-workers.  Maintain electronic files and records as shared resources per company and/or unit policy.
  • Participate as assigned in special projects, learning opportunities, organizational initiatives, and general accounting processes.  Examples include but are not limited to financial modeling/analysis, Single Audit tasks, annual budget tasks, software evaluations & upgrades, etc.

Qualifications

Job Requirements:
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Demonstrated knowledge and understanding of General Accepted Accounting Principles (GAAP); federal grant reporting; and Uniform Guidance cost and audit principles.
  • Advanced MS Excel skills including Vlookups and pivot tables.
  • Strong skills in MS PowerPoint, Word, Outlook, or comparable packages.
  • Ability to analyze financial data and prepare financial reports, statements, and projections.
  • Ability to meet tight deadlines.
  • Critical thinking skills, including comfort with troubleshooting, researching, asking questions, and process change/improvement.
  • Excellent analytical and organizational skills.
  • Excellent written and oral communication skills.

Education and Experience:

  • Minimum of a bachelor’s degree in business, accounting, finance, healthcare administration, or other relevant field required.  Relevant master’s degree and/or additional certificates/certifications preferred.
  • A minimum of 5 years of related work experience with a Bachelor’s degree or 3 years with a Master’s degree required.
  • At least 3 full years of experience in grants and/or contracts management, billing, reporting, and/or budgeting required.
  • Work experience in a health care, scientific, and/or research environment strongly preferred.
  • Experience in applying GASB accounting standards and researching government regulations required.
